Privacy Policy

This policy explains what information Datum Estimation, a sole proprietorship owned by Michael Matero Jr. and based in Stanfordville, New York ("Datum Estimation," "we," "us"), collects when you use datumestimation.com, how we use it, and the choices you have. The short version: we use your information to produce your estimates and communicate with you. We don't sell it, and we don't use it for advertising.

1. Information we collect

Information you give us

  • Contact details: your name, company, email address, phone number and company website.
  • Project information: plans, specifications, photos, spreadsheets and other files you upload or link to, along with project names, addresses, descriptions, target prices, bid dates and notes.
  • Acceptance records: when you open a delivered estimate, the name and email you enter, the time you accepted the estimate terms, and your browser type.
  • Messages: emails you send to support@datumestimation.com and our replies.
  • Payment information: payments are handled by Stripe, which collects your card details directly. We receive a payment confirmation, the amount, your email, the billing name and billing address you enter at checkout (and your business name, if you add one), your project reference, and limited card details like the brand and last four digits. Your billing details appear on your receipt and invoice, and Stripe uses your billing address to work out whether sales tax applies.

Information collected automatically

Our website doesn't set its own tracking or advertising cookies. Our hosting provider keeps standard server logs, like IP address, browser type and pages requested, to keep the site secure. Our pages load their typefaces from Google Fonts, which receives your IP address and browser details when a page loads. When you submit a request, your browser keeps your reference, project name, email, estimate size and total in this tab's session storage so the confirmation page can show them. That stays on your device, is not sent to us, and is removed once the confirmation page has shown it or when you close the tab. Stripe's checkout pages use their own cookies to process payments and prevent fraud.

2. How we use it

  • Prepare, review, revise and deliver your estimates
  • Process payments and refunds
  • Email you about your projects, like file questions, progress updates and delivery
  • Answer support requests
  • Keep records of estimate terms you accepted
  • Keep the service secure and prevent fraud and abuse
  • Meet legal, tax and accounting obligations

3. AI and human review

Your files are processed by our estimating software, which reads drawings and prices quantities, and are reviewed by our estimator. Only the estimator working on your project can see your project files. If we ever bring on additional estimators or contractors, they will be bound by confidentiality obligations and will see only the projects assigned to them.

We do not use your plans, drawings, estimate or project details to train our pricing models or to prepare estimates for other customers. Each estimate is prepared only for you.

4. When we share information

We do not sell your personal information or share it for advertising. We share it only:

  • With service providers who help us run the service: website hosting, our form and file intake service (Formspree), payment processing and invoicing (Stripe), file storage, email (GoDaddy), and web fonts (Google Fonts). They may use your information only to provide services to us.
  • For legal reasons, when required by law or to protect the rights, safety or property of our customers or us.
  • In a business transfer, such as a sale of the business. This policy would continue to apply to your information.
  • With your permission, or at your direction.

5. How long we keep it

  • Contact details and project files: for 24 months after your estimate is delivered, so you can request revisions and copies. After that we delete them. You can ask us to delete them sooner.
  • Acceptance records: for as long as the related estimate could be the subject of a claim, and at least one year after delivery.
  • Payment and transaction records, including billing details on receipts and invoices: for as long as tax and accounting laws require, typically seven years.

6. Security

Our website and service providers encrypt data in transit, we limit access to the people who need it, and we use reputable providers for hosting, file intake and payments. No system is perfectly secure. If we learn of a breach that affects your information, we'll notify you as required by law, including New York's data breach notification law (the SHIELD Act).

7. Your choices and rights

You can ask us to:

  • Show you the personal information we hold about you, or give you a copy
  • Correct information that's wrong
  • Delete your information and project files

Email support@datumestimation.com from the address you used with us. We'll respond within 30 days. Depending on where you live, including California and other U.S. states with privacy laws, you may have additional rights. We will honor them and won't treat you differently for using them.

8. Children

Our service is for businesses and is not directed to anyone under 18. We don't knowingly collect information from children.

9. Changes to this policy

If we change this policy in a material way, we'll post a notice on the site before the change takes effect. The effective date at the top shows when it was last updated.
